Role: Responsible for rotas to ensure that reception is properly covered at all times. Appraisals of the team, overseeing the updating of reception protocols. Day to day control of reception and reception staff.
Dominic Worley - Accounts Analyst

Role: To ensure the effective control and accurate and timely reporting of the finances of East Cliff Medical Practice. Day to day management of debtors, creditors and nominal accounts. Assists with administration of payroll and associated tax, national insurance and superannuation.
Personal Assistants to the Clinical Team
Role: To provide comprehensive support to the doctors and nurses. Their role includes letters and referrals, telephone contacts with patients, carers and hospital staff, passing on visit and other requests, obtaining and in-putting patient results and maintaining patient records.
Senior Administrator
Role: Secretary to in-house MSK Physiotherapist. Cervical Screening Co-ordinator. Monitoring of generic practice email account. Monitoring and distributing of incoming faxes. Recording patient deaths. Processing request for copies of medical records to both patients and legal bodies and overseeing the Administration team.
Clinical Coders
Role: To code all correspondence between the surgery and external agencies, a vital role for the New GMS Contract.
Administration Clerks
Role: Responsible for arranging and amending all clinical appointments on the practice system. Processing new patient registrations. Provide general support to the administration team. Assist with petty cash reconciliation. Administrative support of all Palliative Care including organising and minuting the monthly multidisciplinary meetings. Distribute incoming Royal Mail by protocol. Processing of Foreign travel questionnaires. Posting of Occupier letters. Filing of Incoming out of hours reports to clinical records.
Administration/Scanning Clerks
Role: Manage all patient deductions and liaise with PCSE where appropriate. To open and distribute incoming hospital post by protocol. To scan all patient related documents and post through DocMan to relevant clinician for review and follow up. To update patient changes of details to clinical system. Copying of notes for solicitors requests. IT support for the practice.
Notes Summaries/Sorting
Role: To summarise patients records onto the practice system. To order, prune and file patients’ paper records.
Reception Team
Role: To receive, welcome and facilitate every patient’s contact with the practice. Role encompasses face to face and telephone contacts, the receipt and passing on of important, confidential information. Receptionists perform a key front of house role on behalf of the practice, liaising between patients, outside agencies and the clinical and administration teams. Day to day jobs include processing and distributing repeat prescriptions, making appointments, handling specimens and dealing with unexpected and often difficult situations as they arise.
Housekeeping - Midday
Role: To maintain a good level of housekeeping support throughout the practice during the lunchtime period, this includes loading and unloading dishwasher, cleaning kitchen areas, topping up all consumables in doctors rooms and toilets as required.
Housekeeping - Evenings
Role: To maintain a good standard of cleaning throughout the building including clinical rooms, office and training areas, sluices and toilets. Reporting any problems that are found through a communications book so that they can be dealt with the next day.
